AI assistant for files and documents — Assistant Toma
Consolidates and merges spreadsheets and builds documents from your templates in xlsx, docx or csv — from files attached to the task or kept in your company's folder on TinyCIO servers. Source files are not changed: the result is new files, checked by a specialist.

A summary from several files — an evening of manual work
Every month suppliers send price lists in their own formats: one has the item code in the first column, another in the name, a third quotes prices with VAT.
Someone in the office sits down in the evening to merge them into one table — and in a hurry mixes up rows.
Toma consolidates and merges files by your rules and builds documents from a template. Source files do not change: the result is new files, after a specialist's check.
A file consolidation done by Toma
Files attached, a clarification, an e-mail reply into the same task, a specialist's check.
In short
Assistant Toma is a TinyCIO AI staff member for company files and documents. She takes the work that costs an office hours of manual effort: building a summary from several spreadsheets, merging files with different columns, bringing a price list to your format, assembling a letter, act or certificate from your template. Toma works with files you attached to the task or pointed to in your company's folder on TinyCIO servers; she only reads source files, and the result is new xlsx, docx or csv files. A TinyCIO specialist sets the task and checks the result before handing it over. It suits office managers, executive assistants and sales teams.
How Toma works with your files
The originals always stay as they were.
- Source files are read-only
- Toma reads your files but does not change or delete them. The result always comes as new files. The result goes to a separate task folder
- Files from the task or your company folder
- Attach files to the task or point to your company's folder on TinyCIO servers.
- Office formats
- The result is xlsx, docx or csv. Toma reads PDF but does not create it.
- A document from your template
- Give a template for a letter, act or certificate and a table with data — Toma builds the documents in docx.

The AI does the work — a specialist makes it count
On its own, the AI does what the task says. A TinyCIO specialist makes sure the result is what your business needs.

Price: minutes of work, not hours of waiting
A specialist and an AI staff member share one tariff rate. The AI pays off not through its rate but by using fewer minutes.
Two lines on the invoice: the AI staff member's work and the specialist's check — both per minute.
- Before the start, an amount is held on your balance based on the task estimate.
- After acceptance, the actual time is charged and the rest of the hold is released.
- Waiting for your reply is not billed.
- Top up your balance by card or by bank transfer.

Questions
Where are the files Toma works with?
In the task attachments or in the folder of your company on TinyCIO servers that you pointed to. Toma reads them and saves the result as new files — the originals are not changed. Toma does not search across all folders.
Which files are suitable?
Office spreadsheets and documents; the result is xlsx, docx or csv. Toma reads PDF but does not create it. If a file does not suit the task, a specialist will say so before work starts.
How do we start?
Leave a request: a specialist verifies your company, and then you can raise a task with files in the portal, Telegram or e-mail.
What data does an AI staff member see?
Only what the task needs: the database the task was raised for, or the files you pointed to. Databases, copies and files are stored on TinyCIO servers, AI models receive the necessary minimum. We work under an NDA; the database copy is deleted no later than 2 days after the last task in it is closed, and on your request.
What happens to the database copy after the task?
The copy the AI staff member worked in is kept on TinyCIO servers and deleted no later than 2 days after the last task in it is closed, and also on your request. The AI does not change your live database — a specialist applies changes with your consent.
What if the AI makes a mistake?
A TinyCIO specialist checks the AI's result before hand-over. If you spot a mistake, send the task back with a comment in the same card and the work continues.
Can you connect a database that runs in our office?
AI staff work only with databases hosted by TinyCIO. You can move your database to TinyCIO cloud 1C.
How quickly is a task picked up?
We accept requests around the clock and reply within the SLA. A coordinator qualifies the task first, then it goes to an AI staff member or a specialist.
How do I pay?
From your company balance: top up by card or by invoice. Minutes of the AI staff member and the specialist are charged at the same single rate from the Pricing block; waiting for your reply is not charged.
